A Guide to Pre-Shipment Inspection Coordination

Prepare an independent inspection before shipment and understand its limits.

Set expectations before production

Agree on product specifications, approved sample, packaging, quantities and acceptance criteria. Identify any testing or regulatory requirements separately.

Arrange an independent provider

Select an inspection company, agree on the scope, sampling method, location, timing, report and fee. Provide the purchase order and approved specifications; coordinate access with the supplier.

Review the findings

Read the report, photographs and stated limitations. Discuss discrepancies with the supplier and agree on corrective action or a reinspection where needed before authorizing shipment.

Understand the limits

An inspection is a snapshot, often based on a sample. It does not guarantee every item, certify regulatory compliance or replace required testing. Freight and inspection fees are separate.

Requirements vary by product and destination. Verify applicable import, safety, labelling and other requirements for your circumstances with qualified parties.
